How to set your freelance rates without guessing (or crying)

A practical framework for pricing your services based on value, not fear — plus a real example.

Most freelancers set their rates by picking a number that feels scary but possible. That’s not strategy — that’s a guess. And guessing leads to burnout.

Instead, start with your target annual income. Add overhead (software, taxes, insurance). Then divide by the number of billable days you actually have — not 365. Most people overestimate by 30%. Be honest: sick days, admin, marketing, and gaps between projects add up.

Let’s say your target is $80,000. Add $15,000 for overhead. That’s $95,000. You realistically have 180 billable days a year (after weekends, holidays, and non-billable work). That’s $528 per day. If a project takes 5 days, your minimum quote is $2,640. Now adjust upward based on the client’s budget and the value you deliver.

This framework gives you a floor, not a ceiling. Once you know your number, you stop discounting out of fear. Your rates reflect your worth, not your anxiety.
